How to Set Up Your Schedule with FreeQuest

So far, FreeQuest has helped companies manage employee requests — from vacation and sick leave to remote work applications. The platform has become a trusted resource for employers looking to improve their management processes.

Now, we’re introducing a new feature that lets teams use the familiar FreeQuest tools to create and manage work schedules. This is perfect for office environments, remote setups, or hybrid arrangements.

In FreeQuest, you can design any type of request. The setup gives you full flexibility — from naming and visibility settings to defining the approval process. As an admin, you also decide whether a request counts as a working or non-working day. This helps you maintain control over your team’s responsibilities and hours.

This means you can easily create a variety of custom request types like morning shift, afternoon shift, weekend duty, or any other options that fit your company’s needs. Whether your employees perform their job in the office or from home, FreeQuest makes planning simpler.

How to Do It 

To set up your schedule with FreeQuest, follow the simple steps outlined below:

  • Go to the Admin Panel tab in the web app, or MoreMy Company in the mobile app.

  • Open the Manage Requests tab and click Add Request.
  • In the first setup step, enter your chosen request name — for example, Morning Shift.

  • In the Display in app as section — decide whether employees using this request should appear on the working or non-working list — select Working.

With the new Schedule tab, you can use the working request types you’ve created to plan your team’s work. The difference is that now, submitted requests are used to organize your employees’ availability and presence, giving your management full oversight.

Planning Your Team’s Schedule

The entire process can be tailored to your company’s policy:

Option 1: Employees submit their own shifts

This is a good solution for teams with flexible hours, where employees help create the work schedule.

Remember: in step 4 of the setup, as an admin, you decide how requests are approved. If you check “Request requires approval”, the requests submitted by employees will show their availability for the week or month, and you can build the schedule by approving them directly in the Schedule tab. This approach encourages trust and makes hard work more visible.

Option 2: The manager submits requests on behalf of employees

A user with manager permissions can create requests for employees. Each request appears in the app, both in the employee’s calendar view and in the Schedule tab. This method ensures responsibilities are covered and gives employers peace of mind.
